The backfill feature is used to pick up any year-to-date data for plans that went live with the integration after their first payroll of the year. This will be most relevant to recordkeepers that have YTD hours and compensation included in their payroll file spec. Backfill will also come into play if a plan is needing a compliance report for year-end testing.
Backfill will not produce any output files to your SFTP or for download. Backfill is used to log any YTD data prior to the integration setup only.
To run backfill, please complete the following steps:
- From the Payroll Integrations dashboard, navigate to the plan needing a backfill run by searching for their plan name or plan ID in the upper right-hand corner.
- Click 'Run Backfill'.
- Select the year that backfill is needed for then click 'Next'.
- Select if you would like to 'Overwrite All' or 'Fill in Gaps'. Most frequently, 'Fill in Gaps' will be used. 'Overwrite All' will only be used if deduction and earnings codes were not mapped correctly during previous payroll runs.
- Confirm your selections then click 'Submit'.
Backfill may take several hours to run depending on the number of payrolls backfill is processing for. You can monitor the progression through the 'Payroll Activity' tab for the plan.
Please note, for ADP WorkForce Now and ADP Total Source, backfill must be run after 7:00pm (time zone depending on where the plan is located) if there is any data older than 60 days that needs to be logged. For any other payroll provider, backfill may be run at any time.
