Once a filter template is uploaded, it will remain active until a new template is uploaded. A new filter template will need to be uploaded only if there is a change to the employees that should be included or excluded from the output file sent to your recordkeeper.
Please use the below instructions to update your inclusion/exclusion filter as needed:
1. Log into your Payroll Integrations account.
- Note: if you have not already setup Multi-Factor Authentication (MFA), you will need to do so to complete all steps below. This is for an extra layer of security and required to access the information of the filter.
- To setup MFA, click your username in the upper-right hand corner. In the dropdown, click 'Manage Multi-Factor Authentication' and follow the steps to setup your MFA.
2. Click on your plan name.
3. Click the 'Finish Setup' button on the right-hand side.
4. Click the 'Edit/View' button next to 'Employee Filtering'
5. Download the most recently uploaded file. The file will need to be downloaded and reuploaded as a CSV file.
- Note: The system will overwrite the previous template file and use the most recently uploaded file to include/exclude. To make changes, simply add to or remove from the existing downloaded template.
6. Open up the downloaded CSV file and make any needed changes by adding or removing employees.
- Note: SSNs should be formatted without any dashes (i.e. 123456789). If there are leading zeros in the SSN, the cell can be formatted as 'Text' so the leading zeros do not drop off in the CSV file.
- These files override each other so if you already have employees listed, keep them on there and add the new ones to the bottom of the list.
7. Once you have completed your changes to the downloaded template, save the file as a CSV file and reupload the file to 'Include Employees' OR 'Exclude Employees'. You do not need to upload to both.
8. Once the file has loaded, click 'Upload' in the bottom-right corner.
9. Once the filter has successfully saved, a table will appear with filter type (include or exclude), date of upload, user that uploaded the filter, and employee count on the filter.
