If your onboarding specialist has asked you to fill out an employee loan template, please fill it out by following the below guidelines. All existing loans at the time of onboarding will need to be added to the template. Please complete this prior to your onboarding call as this will be uploaded to the Payroll Integrations system as part of onboarding. If there are currently no employees in your retirement plan with outstanding loans, you do not need to complete this action item.
Please note, if you have multiple companies/divisions in payroll, please feel out a template individually for each company/division.
Please do not send the completed template back to your onboarding specialist as it will contain sensitive information that should not be sent via email.
Column A (loanIdentifier) - This is the loan number as provided by your recordkeeper (i.e. 1, 2, 3, etc.)
Column B (deductionCode) - This is the deduction code used in payroll for the employee's loan (i.e. 4KL, KL2, 401K Loan, etc.)
Column C (employeeDisplayId) - This is the employee ID as indicated in payroll. Please note, if you use column D, you may leave column C blank -- you do not need to use both.
Column D (employeeSSN) - Employee's Social Security Number. Please fill this out without any dashes (i.e. 123456789). Please note, if you use column C, you may leave column D blank -- you do not need to use both.
Column E (employeeFirstName) - Employee's first name.
Column F (employeeLastName) - Employee's last name.
Column G (employeeGroupCode) - ADP WorkForce Now and ADP Total Source only. This is the ADP company code, typically 3-characters (i.e. ABC, A1B, 123, etc.)
